Winter Closure (December 14-January 6) | We will respond to reservations made between December 16 and January 6 on January 10. This will give us time to probably prep the center for winter closure and fully rest during winter break. |

Room reservations are only for departments and organizations affiliated with Stanford. Non-affiliated organizations and community members should check out Stanford Conference Services for information on meeting and event space.
Important Information and Policies
Cancelation Policy for BCSC Spaces
Cancellations: We want everyone to have a chance to reserve space at the Black House. Last minute cancellations prevent other organizations from using the space. There is a $100 service fee for cancellations made within one week of the reservation date. You will be charged in full if you cancel less than 48 hours before your reservation without rescheduling. For VSOs and sponsorships, you will be charged the department rate for your reservation, and we will send you an updated invoice detailing the fees. If this happens twice, we'll connect with your organization to check-in.
Cleaning Policies and Guidelines for all BCSC Spaces
- Please ensure the space is cleaned and organized according to our cleaning policy. A reference photo of the room's layout will on the podium in our reservation binder.
- Please make a note in the reservation binder BCSC if you arrive for your reservation and the space is not clean or organized according to diagrams in the reservation binder. If a staff member is unavailable, take pictures of the space and email them to stanfordbcsc@stanford.edu. This will help us know if groups are respecting our cleaning policy. You are still responsible for cleaning and organizing the space after your event or program ends.
- If your event will have food, we require you put in a work order for extra custodial services and trash / recycling bins via this We only require trash, compost, and recycling bins. Click here to order trio bins them.
- You have 3 days after we send your reservation confirmation to email us copies of your confirmation forms from Grounds Maintenance and Stanford Recycling. Failure to do so will result in the loss of your reservation.
Social / Party Guidelines for all BCSC Spaces
Organizations and departments hosting non-academic events are subject to additional steps and guidelines in order for final approval/confirmation to be given.
- ALL non-academic events held in the space must send a representative to the Black House to sign our social / party policy at least 24-hours before the event. This policy outlines all guidelines and expectations associated with all non-academic events. We are able to set up a virtual meeting if you are not able to visit the BCSC before your event. However, we highly recommend coming to see the space. This will enable you to better plan your event and understand what we can and cannot offer. Click now to review our social / party policy.
- If you are hosting a social or party, you are required to put in a work order for extra custodial services and trash/recycling via this Buildings and Grounds Maintenance link and/or this PSSI/Stanford Recycling link whether or not you have food. Again, you have 3 days after we send your reservation confirmation to email us copies of your confirmation forms from Grounds Maintenance and PSSI/Stanford Recycling.
- Important: Failure to comply with our social / party policy and cleaning standards will result in loss of reservation and could lead to your organization or department being charged a $100 service fee. Available Spaces
Black House Lounge (15 people max)
BVSOs interested in using the Black House Lounge for small events and meetings should check the availability calendar and make a reservation. This is not a guaranteed option. Reservations depend on BCSC events and current reservations. This is the main space for students to chill, and we want to make sure this space stays that way.

Available Equipment
Equipment is only available to organizations and departments renting our space. Chairs and tables are priced per day. We charge a replacement fee for all broken equipment. The fee will equal our cost to replace the broken item. Deck furniture is included in all reservations for free.

It will take 1-2 weeks for me to respond to reservation request. For folks unfamiliar with the Black Community Services Center, please remember that you are reserving space within a community center versus a traditional event space.
